Use menu option Sources | Supplier Invoices | Enter when the Supplier Invoices module has been purchased.
This opens the Supplier Invoices list window. Here you can see previously entered invoices. Click the 'Detail' icon in the Toolbar or press F3 to open the Supplier Invoices detail window.
Navigate to an invoice from the same supplier and click the 'Copy Document' icon in the detail window to make a copy of the invoice ready for the new invoice data to be entered. Saves on data entry.
A message is given with the new Supplier Invoice document number.
The windows are changed to show the new record. Notice that this invoice has not been posted to the Ledger yet. Enter data from the invoice to be ready for posting to the Ledger.
If you only have a gross amount (Base + VAT), enter the figure in the 'Gross' input box, in order to see the 'Net' value to be entered into an invoice allocation line.
Use the 'Add Line' button to create additional invoice allocation lines.
When complete click the 'green tick' icon to post the invoice to the Ledger.
A confirmation message is given with the Ledger Journal number.
The Ledger Journal number used in the posting is now shown on the supplier invoice which is now blocked for editing and from being posted (again).
Use menu option Ledger | Posted Journal Edit to review the Ledger entry.
This opens the Posted Journal List window.
Open the detail window by clicking the 'Detail' icon in the Toolbar or by pressing F3.
The Posted Journal Edit window shows the suppliers invoice in the Ledger.
You can edit any part of the journal to correct errors.
Close the posted journal by clicking the 'green tick' icon.
Not enabled when the journal does not balance in local currency.
Instead of copying an existing document, use the 'Add new record' icon in the Toolbar to create a new supplier invoice record.
Or, use menu option Records | Add record.
Use the 'New' button next to the Supplier attribute to open the Setup Accounts window.
Create a new supplier or amend the details of an existing supplier.
The Accounts records are filtered to only show Suppliers.
Use menu option Sources | Supplier Invoices | View to review data for all Supplier Invoices held for the company.
See Demo 'Reviewing Ledger postings' on how to manipulate this window - the columns shown; the sort order used; filtering the data presented.
